What is the difference between workflow automation and AI?
Automation follows rules you define; AI infers what to do based on context and training. We use automation where the logic is stable (order confirmed then inventory decremented then invoice sent then CRM updated) and AI where the input needs interpretation (customer email arrives then intent classified then routed to the right team). Most SMB engagements start with automation and add AI only where it earns its keep.
What tools do you use?
n8n for most self-hosted engagements (cheaper long-run than Zapier, no per-task pricing surprises). Zapier or Make when the client already has the plan and the workflows are simple. Custom Node or TypeScript scripts when the automation needs to run inside the client's own infrastructure or handle sensitive data that should not leave their control. Tool choice is downstream of the use case, not the other way around.
How much manual work can I realistically automate?
The rule of thumb: if it happens more than once a week and follows the same rules every time, it can be automated. Most SMB engagements find five to fifteen hours of expert time per week hiding in tasks like invoice generation, email triage, customer onboarding, appointment reminders, review requests, and CRM updates. The first automation usually pays back its build cost inside two to four months.
What if the automation breaks?
Every workflow we ship includes retry logic for common failures (rate limits, network blips), structured error logging so failures are diagnosable, and Slack or email alerts when something needs human attention. We also document the recovery steps so a non-technical team member can react to an alert without needing to call us. The goal is trustable automation, not automation that requires a support contract.
